Privacy Notice

The Règlement Général sur la Protection des Données (or General Data Protection Regulation) places strict controls on how Cancer Support Group 06 (CSG06) can handle the personal information which we hold.

This Privacy Notice explains how CSG06 will fulfil its obligations to you. It also explains your rights.

What information CSG06 holds and why

CSG06 collects and holds different types of personal information depending on your relationship with us. This can broadly be described as follows:

Our Clients: To fully support you as a client of CSG06, we need to collect adequate information to enable us to fulfil that role. Your contact details and the nature of your needs as you perceive them at the time of contact form the basic part of that information. We may request further information from you in certain circumstances. For example, an Active Listener providing language support at a hospital consultation will need full medical details. However, an Active Listener providing you simply with emotional support needs only the information which you wish to share.

Our Elected Officers: When you are elected as a CSG06 officer and member of the Executive Committee, you provide requested personal information that is submitted to the local Préfecture.

Our Active Listeners: If you decide to train as an Active Listener and thus have contact with our clients, we request more detailed information about you and your previous life experience.

Our Other Volunteers: If you volunteer for CSG06 in any other form, we will request your contact details.

Our Service Providers and Major Donors: If you provide services to CSG06 or are a major donor to the association, we will hold your contact details.

How we obtain your information and why we have it

The Regulation specifies various lawful bases which allow us to handle your information. For CSG06, all the information that we collect has been freely provided by you or provided with your consent. We use your information to fully support you as a client; or, to coordinate with you as a volunteer, service provider or donor; or, to comply with French regulations if you are an officer.

Please note that you can withdraw your consent at any time, in which case we will destroy the information which we hold. This would mean that you could no longer remain as a client, volunteer, or elected officer.

What we do with your information and how we store it

Your information will be held on a database.

Client information is securely stored, password protected, and shared only with those who are in direct contact with you or who, in a professional capacity, supervise the Active Listener who is in direct contact with you. Your information will NOT be shared either within or outside CSG06 without your consent except in a case where we are legally obliged to do so. We will delete your information if you are inactive for twelve months, or earlier if you request it.

Volunteer and officer information is shared within the association as and when necessary to enable you to receive updates, carry out your volunteer role, and participate in the life of the association (e.g. to give you details of upcoming events). If you cease to be an active volunteer for CSG06, your information will be deleted within six months, or earlier if you request it.

Your rights

Under the Regulation, you have various rights. These are:
Right of access – you have the right to ask us for copies of any personal information that we hold.

Right to rectification – you have the right to ask us to rectify information if you think it is inaccurate. You also have the right to ask us to complete information if you think it is incomplete.

Right to removal and restriction of processing – you have the right to ask us to remove your personal information or to restrict how we handle it in certain circumstances, e.g. if the information we hold is no longer relevant to your relationship with CSG06.

Right to data portability – you have the right to ask that we transfer the information you gave us to another organisation, or to you.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month in which to respond to you.
